ESSENTIAL DUTIES AND RESPONSIBILITIES:

This position serves a critical role in achieving the organization’s strategic priority of empowering C.A.R.P. members to advocate and grow local participation and awareness in support of our mission to improve the lives of Canadians as we age, through their engagement in our Chapters.

The position oversees the work of C.A.R.P.’s volunteer-led Chapter network, providing operational, logistical and strategic support in the execution of local activities that fuel member and community engagement.

This role strategically manages the volunteer lifecycle, utilizing existing platforms to track and report performance while connecting members with meaningful engagement opportunities that drive the mission.

This role is also responsible for ensuring compliance with C.A.R.P.’s business models and manages day-to-day communications between the National Office and Chapter volunteers. This position reports to the Chief Community and Benefits Officer, but will work collaboratively across all of C.A.R.P. ‘s departments.

Responsibilities include:

Provide operational support to volunteer chapter leaders in the delivery of member engagement activities of all formats, while ensuring a positive experience for all stakeholders. This includes volunteer management, creation of promotional language, and logistical support/facilitation for 100+ chapter-led activities throughout the year.
Plan and execute appropriate volunteer training programs—including the annual Chapter Congress—to increase individual volunteer capacity.
Coordinate communication between Chapters to share best practices,
Produce annual reporting on Chapter metrics to track performance against strategic objectives.
Serve as the primary point of contact for volunteer opportunities within the Chapter network. Work to further develop the volunteer development and orientation program to expand volunteer capacity.
Responsible for working within the annual Chapter Local Area Marketing operating budget.
Ensure compliance and efficiency with all chapter and volunteer support policies and procedures, implementing appropriate changes, as necessary.
Coordinate and lead regular touchpoints with chapter leaders through appropriate channels to nurture relationships and maintain levels of engagement.
Build, maintain, and report on a master schedule of events for all Chapter projects to ensure deadlines and outlined performance measures at met.
Successful outcomes will include high member satisfaction and achievement of annual targets for meeting attendance and membership growth, retention, and participation along with revenue goals.
Facilitate and nurture relationship between Chapters and C.A.R.P. ‘s affinity and educational partners.
Collaborate cross-departmentally to introduce new and innovative engagement activity formats that build community at the local level and reinforce member value.
Work cross-departmentally to develop volunteer tools and resources that provide guidance for generating consistent engagement with C.A.R.P. ‘s advocacy and member-education priorities.
Establish strong communications, build trust, visit volunteers in their local communities (as assigned) and represent organizational expectations.
Dedicated to Chapter volunteer interactions, processing requests, approving activity requests and encouraging engagement with the organization.
Leverage data and analytical tools to identify trends that support new and improved program development, focusing on data from all other internal sources and environmental scans.
Assist Chapters in development and management of events, including event preparation, marketing materials, and attendance tracking.
Support efforts including registration processing, onsite management and meeting preparation and follow up.
Organize and lead positive online meetings of committees and groups to meet desired outcomes.
Conduct other duties as assigned.

Qualifications include:

2+ years of experience working with volunteers, preferably with chapters or in a general membership role with an association
Understanding of the issues and challenges in working with a large, diverse membership, particularly chapters and volunteers
Strong interest and skills in working in a cross-functional team environment
Ability to develop and interpret qualitative and quantitative data
Experience and skills in guiding/mentoring volunteers
Keen ability to cultivate and grow relationships/partnerships
Member-focused, service-oriented approach to dealing with external stakeholders
Excellent internal/external written and verbal communication skills
Strong project management and analytical skills
Sound judgment and ability to make logical, evidence-based decisions
Strong, proactive, solutions-based approach to problem-solving
Goal-driven, multi-tasker with an attention to detail who thrives working in a fast-pasted, dynamic environment
Proficiency with Microsoft Office; WordPress, webcast/Zoom platforms preferred
Association/nonprofit experience preferred
Bachelor’s degree or a combination of education and experience which demonstrates the necessary skills and expertise required for the position
Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and with great attention to detail.
Microsoft Office (Excel, Outlook, MS Word, PowerPoint), social media applications; Photoshop, web-publishing systems, CRM software applications.
